Event Volunteers

Each year Lothian Running Club organise a number of running events. The success of the events depend on club members volunteering to help in a variety of roles.
All roles are straightforward. Some can be combined with running. All are Fun!! Some events are hosted on behalf of the East District and/or Scottish Athletics in which case some of these roles are undertaken by others from outwith the club. For small events these roles are often combined but for larger events spreading the tasks over a small team saves one person becoming overloaded.

  • Event Manager: Coordinate the Event programme and advise other Event Organisers and volunteers.
  • Event Organiser: Takes a lead role for one event, coordinating Team Leaders and  normally undertake some or all of the Pre Event Administration. Recruit Volunteers and where required official Officials. Manage or arrange to be managed any web pages and event publicity.
  • Pre Event Administration: Apply for permissions to Scottish Athletics and landowners – normally West Lothian Council. Plan course(s) with the Course Manager. Set up an entry system. Book key facilities such as School, Toilets, First Aid, Tents or Gazebos, Course signage and furniture, Race Timing if required.
  • Course Manager: Plan the course(s). Prepare maps and diagrams for officials and runners use. Plan course signage and other course furniture. Prepare briefing notes for course set up.  Manage course setup with other volunteers. Liaise with SAL Referee on the day if required. Liaise with the Volunteer Coordinator regarding course marshalling and course strip down.
  • Start: Set up Start as required. Manage runner Call up and Start. Coordinate with Race Timers as required. Liaise with official Starter as required.
  • Finish: Set up Finish area. Finish Line, Finish Chute. Brief Finish Officials on Results recording and/or liaise with external Race Timing team.
  • Volunteer Coordinator: Pre Recruit Volunteers in coordination with the Event Organiser. On the day manage course marshals. Brief and equip marshals. Communicate and support marshals during the event as required.
  • IT, Web Pages, Start Lists, Results processing: Various IT related tasks that support the administration and results processing for the event.
  • Publicity: A variety of tasks including advertising and promotion, contacting sponsors, collecting and distributing prizes and mementos.
